Give your order desk useful work without giving up the pricing calls

Independent B2B wholesale distributors live with a specific weekly grind: PO PDFs land, an approved catalog and price export goes alongside them, and someone has to work out which lines actually make sense before an order goes out. An unfamiliar item code, a price that differs from the approved list, a quantity that changed between email and PO — these are the moments that turn a packet into a worksheet. This page is about turning that worksheet into something AI workers can help produce, while the commercial calls stay with your people.

Start with a free 30-minute call with David. Bring your website and one recurring order-preparation task. You get a free audit of your site's SEO, AEO and GEO, a preview of how a redesign could look, and a demo built around your documents — no purchase obligation. You keep the audit report and redesign preview whether or not you book a workshop.

What we build with you

A website your buyers and answer engines can find and understand

Distributor customers search by item, brand and spec as much as by category, and reps quote from your site during a live conversation. We work through the agreed service pages: technical SEO, mobile experience, contact path, and AEO/GEO work that makes your catalog, service area and contact details easier for answer engines to interpret. You redesign the agreed pages with David, then learn the process so the next update doesn't have to become another development project.

An xAI voice agent for inbound order enquiries

Set up around your business information, the questions customers ask most, and the details a rep needs before quoting: company name, account number, requested items, needed-by date. You walk the call flow together and test what happens when the agent needs a person. Any booking, quotation or transfer action is agreed with you before it is included — you decide what can be handled automatically and what needs confirmation.

An AI-worker organization with named responsibilities

We design roles, instructions, context and handoffs using Zati, Muse or GrokBot, depending on which platform suits the work. A first organization might include:

  • an order intake worker that compares supplied POs and correspondence against the approved catalog and price export and prepares the exception worksheet;
  • a price-check worker that isolates the difference between PO price and approved list price, naming the reference used for each comparison;
  • a reference worker that matches item codes across the packet and flags codes that don't resolve, leaving them as questions rather than assumptions.

We also create workers to maintain the site work: review pages for gaps, suggest updates against your SEO/AEO/GEO brief, and prepare changes for your review before release. An unknown code stays a question. A price difference names its source. A quantity conflict shows both figures and where each came from.

The skills to keep it working

You do the work alongside David. Practice changing information, reviewing a worker's output, spotting a mistake and making the next improvement yourself. You finish operating the agreed setup, with your accounts, the operating guidance and a routine for checking the work.

A prospective first workflow

This is a scoped example, not a claim about an existing deployment: PO PDFs + approved catalog/price export → order exception worksheet. Define which document versions the review covers, state what a useful result looks like, and let the team produce a worksheet a colleague can act on. Your ERP keeps its pricing rules and records; your team confirms prices, substitutions, availability and order acceptance.

Choose the workshop depth that fits

Practice asking workers for tasks, reviewing their work and improving instructions through conversation.

Scope is agreed on the call. Each package has a written scope and quote.

  • 2 hours — one agreed improvement or one worker, hands-on practice, clear next steps.
  • 4 hours — one focused workflow and its maintenance routine, with time to repeat the changes yourself.
  • 8 hours — a broader setup across the agreed website, voice or worker tasks.
  • 16 hours — several agreed parts connected, with confidence operating and improving it.
  • 32 hours — a deeper multi-workflow programme with an extensive operating playbook.

Hosting is optional. We can set up free website hosting and show you how to manage it, or you keep a suitable existing host. Domain renewals, phone and AI usage, and any paid software are separate costs, identified before the workshop.

Questions before you begin

Will this replace our ERP pricing? No. Supplied exports are the basis for preparation; granted permissions and supported connections determine what else can be reached. Price confirmation stays with your people.

What if a worker is wrong? The reviewing worker checks the worksheet against your brief and flags any claim needing confirmation before it reaches a customer. AI won't make regulated commercial, legal or tax calls on your behalf.

Do we need a large AI organization? Start with the smallest team that makes one responsibility clear, and add roles when the work gives you a reason.
